IBO Group
From pen and paper to one system for every branch
One web system that runs IBO Group's shipments from Turkey to Syria across its six branches, with automated workflows, built-in accounting, and a tracking link for customers.
The challenge
IBO Group is a shipping company in Gaziantep, Turkey, moving goods from Turkey to Syria through six branches in the two countries. Its operations ran on pen and paper and Excel sheets, and customers were kept up to date over WhatsApp. Money was leaking, and the company could not see where it went.
- Operations on pen and paper and Excel sheets
- Customers kept up to date over WhatsApp messages
- Money leaking, with no way to see where it went
What we built
We built one web system for the whole operation, in Arabic, English, and Turkish, and every branch works in it. Staff create each shipping policy with its packages, price it, and load it onto a truck trip with its driver and customs brokers. As the trip moves through customs to distribution, every policy on board moves with it, and a policy split across trucks moves on only when every part has. The receiving branch then delivers the goods to the customer.
The accounting module sits inside the same system. Pricing a policy posts its journal entry, and so do trip expenses, customer payments, and cash entries. A new branch gets its own customer accounts and a cash box for each of its currencies, set up automatically. Cash entries at a branch wait for approval before they post, and recording a customer's payment marks the policies it covers as delivered. Staff see the chart of accounts, journal vouchers, the ledger, the trial balance, and each customer's balance and statement, along with 16 reports and a dashboard.
Every policy has its own tracking link. Staff send it to the customer on WhatsApp, in Arabic, English, or Turkish. The page shows the shipment as registered, shipped, in the warehouse, or delivered, with the date of each step, its packages, documents, and total price, and a PDF of the policy. We also built the IBO Group website in the same three languages: its quote requests land in the system, where staff price them and send the quote. We built the system across 2025 and 2026, and the website in 2026.

How it works
One shipping policy, from draft to delivered.
Step 1: Register
Staff create the shipping policy with its packages.
Step 2: Price
Pricing the policy posts its journal entry.
Step 3: Load
Staff load the policy onto a truck trip.
Step 4: Ship
As the trip moves through customs, every policy on board moves with it.
Step 5: Warehouse
The goods reach the receiving branch's warehouse.
Step 6: Deliver
The branch delivers the goods, and the customer's link shows it.
Customers follow the policy from their tracking link: registered, shipped, in the warehouse, and delivered.
The outcome
- Every shipment and every transaction recorded in one system that all six branches work in
- Journal entries posted as the work happens, so the company sees where its money goes
- Customers follow each shipment from a tracking link instead of asking on WhatsApp
The project in numbers
- 6branches in Turkey and Syria, all working in the one system
- 6stages each shipping policy moves through, from draft to delivered
- 19trip expense types, each posted to the accounts
- 16reports on shipments, customers, the warehouse, and cash
